MemberTraxx Privacy Policy

Welcome to MemberTraxx. This Privacy Policy describes how we collect, use, and protect your personal information when you use our mobile application.

By using MemberTraxx, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

We collect the following types of information:

2.1 Personal Information:
• Email address, and password during Login.
• Payment information (card number, CVV, expiration date) for purchasing game-related
products.
• Parent and student user details for account login and session sign-ups.
• Calendar event URLs to sync game-related sessions.

2.2 Usage Data:
• App usage statistics, such as session participation and transaction history.
• Notifications preferences set by users.

2.3 Google Calendar Sync Data
When you choose to connect your Google Calendar, we access certain data from your Google account to facilitate event synchronization between your calendar and Membertraxx.

• Event name
• Event date and time
• Event description
• Event location

This data is used solely to maintain synchronization between your Membertraxx events and your Google Calendar. Before any access occurs, you will be prompted to grant explicit permission through the Google OAuth authentication process. Google will request that you log in and approve access before any syncing begins.

 

2.4 Google Sheets Integration Data

When you choose to connect Google Sheets, we access certain data from your Google account to facilitate synchronization between MemberTraxx and your selected Google Spreadsheet.

We may access:

• Spreadsheet name and metadata
• Spreadsheet identifier (Sheet ID)
• Selected worksheet/tab information
• Google account email address associated with the connection

MemberTraxx may write registration-related information to the selected spreadsheet, including:

• Team name
• Coach name
• Coach email address
• Coach phone number
• Organization name
• Tournament name
• Division name
• Registration amount
• Payment method category
• Registration date

This data is used solely to synchronize registration information from MemberTraxx to a Google Spreadsheet selected by an authorized administrator.

Before any access occurs, you will be prompted to grant explicit permission through the Google OAuth authentication process. Google will require you to sign in and approve access before any synchronization can begin.

MemberTraxx only accesses the Google Sheets and limited Google Drive metadata necessary to support the integration and does not access unrelated files stored in your Google Drive.

3. How We Use Your Information

We use the collected information to:
• Process transactions and product purchases.
• Register users for game-related sessions.
• Manage parent-student accounts.
• Send customized notifications.
• Sync calendar events, including updates, creations, and deletions between Membertraxx and Google Calendar (with your consent).

The Google Calendar Sync feature specifically allows:
• Event Updates: Reflecting any changes made in Membertraxx in your Google Calendar.
• Event Creation: Adding new events from Membertraxx to your Google Calendar.
• Event Deletion: Removing events deleted in Membertraxx from your Google Calendar.

The event data accessed through Google Calendar is used only to perform synchronization functions and is never used for marketing, advertising, or analytics.

4. How We Share Your Information

We do not sell your personal data. However, we may share your information with:

Payment Processors: To process transactions securely.5. Data Security
Your data is transmitted securely using encryption protocols such as SSL (Secure Socket Layer) during the syncing process
Only authorized personnel have access to your data, and we limit access to the minimum necessary to perform the syncing services.

Google Calendar Services: To enable event syncing as described above.

6. Your Rights & Choices

You can:
• Access and update your account information.
• Adjust notification preferences.
• Request data deletion by contacting us.
• Revoke Google Calendar access at any time. Once access is revoked, data syncing will cease immediately, and any retained calendar data will be deleted according to our data deletion policy.

7. Children's Privacy

Our app allows parents to manage student accounts. We do not knowingly collect data from children under 13 without parental consent.

8. Third-Party Services

We may use third-party services (e.g., calendar sync, payment gateways). These services operate under their own privacy policies.

9. Disclosure to Third Parties

We do not share, sell, or distribute your data to third parties beyond the purposes outlined in this policy.

We may disclose information only in the following circumstances:
• Legal Requirements: To comply with a subpoena, court order, or other legal process.
• Business Transactions: In the event of a merger, acquisition, or asset sale, you will be notified via email or an in-app notice.

Any authorized third-party access will be governed by strict agreements ensuring confidentiality and compliance with applicable privacy standards.

We may update this policy from time to time. Any changes will be posted in the app, and continued use means acceptance of the updated policy.
